We are archiving the BO Reports from Corporate Documents that are not used. So we have created a folder called as Obsolete and are moving the reports from Document Folder to the Obsolete Folder and its sub folders (Using Move the report to a folder option from Infoview). The Access Level for the Obsolete Folder is defined for two groups 1) for Adminstrators to have full access and 2) Everyone to have no access. The Sub Folders within Obsolete Folder Inherit the rights from Obsolete Folder. No when we move the reports to the Obsolete Folder or it sub folders the reports are still being seen by the users so we have to manually set the rights for each report, which is a very tedious task. Could anybody please suggest a better way to do it.
The only way this could happen is for the users to be able to actually see the Obsolete folder and navigate all the way down to the moved report/s. If you have set No Access on the Obsolete folder for Everyone group, and you are sure that the folder is not visible in the navigation panel. how do the users exactly access these moved reports from within the Obsolete folder?
Thanks Vinod for the reply. The users do not see the folder but they can search on it. Also they get “Insufficient Privileges” when the report is searched but still when they click on the report they are able to run it. please let me know in case of any more clearifcation
It looks like access levels have been explicitly set at object level (report level). In an ideal content plan, this is really not advised. Had you set rights at a group to folder level, this would never have happened. Now, I guess the only choice is to go to each report Rights property and remove any user/group for which the rights are NOT inherited from an upper level.
Thanks again for the reply, but we have not made any changes to rights of he reports since Migration to XI. Is it because migration was not done properly and is there a workaround possible.
If there was a migration, I am surprised that the security and rights were not manually recreated. The security and Rights set up in BO 6.x and BOXI are a lot different. You can search the forum for ideas on how security was recreated after migration from 6.5 to XI.
I see the problem here: if you move objects, they retain security. I am 99% sure about this, but I haven’t tested it myself. Try this:
Copy the report to Obsolete folder and then delete it from the original location. Now it should work as expected.
