Purging Inbox documents

Hello Guys

We are talking about BO 6.5 here.
I have a couple of questions on “purging of inbox documents”.

  1. When you do the purging (say for all reports older than 30 days) from supervisor, does it delete all documents that are older than 30 days OR does it delete all the documents that have not been retrieved for 30 days by the respective users ?

  2. Is there way to automate the purging? If yes, how is this done?

Hi Frank,

  1. It will remove all unread documents in users’ inboxes that are older than the specified number of days. Note that read inbox docs are not stored in the repository, and therefore couldn’t be purged by Supervisor, even if it wanted to.

  2. No, not that I know of. Unless you want to write your own SQL scripts to do it. Which, of course, is risky.

Now, is there any way to purge and delete all the read documents in the inbox?

Also, what is the meaning of read document? If you just click the report ad read it/save it as excel etc- Does this automatically get purged?

Depends :smiley:

A Full Client document that is read (“retrieved”, actually) from within Full Client is stored in the users’ local UserDocs folder.

A FC or WebI inbox doc that is read in InfoView is moved from the repository into the “mail<userid>” directory under the server’s Storage directory. You could purge these read inbox docs by simply searching for .wid/.rep files in Mail that are older than the specified date. Note that purging documents this way will not update mail<userid>\index; this shouldn’t break anything, but will leave references to files that don’t exist.

Frank, did you ever find or figure out a way to purge(delete) documents and actually folders in WEBI automatically?
