Mail setup

I want to be able to use mail for the monitoring and email success for reports scheduled in the CMC. However I do not want the users to be able to schedule and use email as a destination. Is that possible in 4.1 SP4?

If I understand your question, you want only certain users to be able to schedule to email. Yes, that’s possible. In CMC -> Applications -> BI launch pad, you can specify “Send to email distribution”.

I would like to keep email as a destination only for admin team.

I have that explicitly set to denied and user can still schedule and send email.

Unless the users are getting the permission from another group, what you’re seeing sounds like a bug.

Sounds like they may be sending this from their Personal Folder. The users have Full Control there and you can’t prevent them from scheduling the reports to be emailed.

We wanted to prevent users from sending emails as well with Web Intelligence reports. We ended up creating a second Adaptive Job Server to host the Web Intelligence Scheduling Service along with all the rest of the services except the Crystal Reports Scheduling Service (I didn’t really like it having all of the other scheduling services but Support couldn’t tell me what other services were needed along with the Web Intelligence Scheduling Service.) We then turned off the email destination for the second Adaptive Job Server. This solution prevents you from sending any emails for Web Intelligence reports, even for Administrators.

I say all of this to say that I’m not sure it is possible to configure what you are asking for. I know there has been a request in to Business Objects to put more security around the ability to email reports for a long time but for whatever reason, they are not responding to those requests.

The setting I referred to is an application setting and would apply to all documents.

Yes, but the location you refer to, CMC → Applications → BI launch pad, only applies to the toolbar buttons in BI Launch Pad. It doesn’t appear relate to the scheduling functionality. They seem to be two different areas that are independent of each other. We have this option disabled as well but still had to do the additional configuration to prevent the users from scheduling the reports to an email destination.

Hmm - you might be on to something. Though the name of the right is “Schedule to email”, it shouldn’t matter where the action occurs.

Exactly, that’s what a “normal” person would assume but that doesn’t appear to apply when you are dealing with Business Objects.

Would this also shut down the ability to send an email for a publication? We have some set up to send out success email no reports just that it ran.

I’m not sure what you are referring to by “this” but I assume it is going to CMC → Applications → BI launch pad, and turning off “Send to email distribution”. Like I said before, this only applies to the toolbar button in the BI Launch Pad.

We don’t use Publisher here at this time but I do know that there is a Publishing Scheduling Service that is hosted on the Adaptive Job Server. If the publisher package is scheduled, I would assume that email would still be available to it.
